SWEET VELVET DESIGNS
Terms & Conditions
Effective from: 1st September 2026
By placing an order with Sweet Velvet Designs, you confirm that you have read, understood and agreed to the following Terms & Conditions.
1. Booking & Payment
A 25% booking deposit is required to secure your order and the requested date. This is payable through PayPal or via Bank Transfer. (Please request email/ banking details).
Your order is not confirmed until the deposit has been received and confirmation has been provided by Sweet Velvet Designs.
The remaining 75% balance must be paid no later than 3 days before the agreed collection or delivery date -unless prior arrangements have been agreed upon.
**Your cake will not be baked/ delivered until final payment has been received**
If the balance has not been received by the payment deadline, Sweet Velvet Designs reserves the right to cancel the order and the booking deposit will be retained, subject to applicable consumer law.
Orders placed within 1 week or less of the collection/delivery date will require full payment at the time of booking.
2. Booking Deposits & Cancellations
The 25% booking deposit is taken to secure your date and cover time spent planning, preparing and purchasing ingredients and materials for your order.
The booking deposit is non-refundable where the customer cancels their order, except where a refund is required by applicable law.
If you need to cancel your order, please contact Sweet Velvet Designs as soon as possible.
Where appropriate, Sweet Velvet Designs may, at its discretion, offer to transfer an order to an alternative date, subject to availability and any additional costs incurred.
Once work has commenced on an order, additional costs may apply and the deposit may not be transferable.
3. Changes to Orders
Reasonable changes to an order may be accepted, provided sufficient notice is given and the change is practical.
Changes to the design, flavour, size, quantity, collection/delivery date or other details may result in an additional charge.
Changes requested close to the collection/delivery date may not be possible.
Sweet Velvet Designs will confirm any additional costs before proceeding with requested changes.
4. Cake Designs & Colours
Customers are welcome to provide inspiration photographs or design ideas.
Please be aware that cakes are handmade and therefore minor variations in colour, decoration, positioning and finish may occur.
Where an inspiration image is provided, Sweet Velvet Designs will use it as a guide - it will not be an exact replica or copy.
Colours may also appear slightly different in photographs, on screens or under different lighting.
A photo of your completed cake will be sent to you before delivery to insure you are happy with it.
Sweet Velvet Designs will be unable to make any major changes in design once a cake has been completed.
5. Allergies & Dietary Requirements
Please inform Sweet Velvet Designs of all allergies, intolerances or dietary requirements at the time of ordering.
Although reasonable care is taken when preparing products, our kitchen may handle ingredients including, but not limited to:
* Milk
* Eggs
* Wheat/gluten
* Soya
* Nuts
* Peanuts
* Other allergens
Therefore, Sweet Velvet Designs cannot guarantee that products are completely free from traces of allergens.
Customers are responsible for providing accurate information regarding allergies and dietary requirements before placing an order.
6. Collection
Customers must collect their order at the agreed date and time.
Please ensure that you arrive with a suitable, flat and secure area in your vehicle for transporting your cake.
Once the cake has been handed over to the customer, responsibility for the cake passes to the customer.
Sweet Velvet Designs cannot accept responsibility for damage caused after collection, including damage caused by:
* Incorrect transportation
* Failure to keep the cake level
* Excessive heat
* Direct sunlight
* Incorrect storage
* Handling or moving the cake incorrectly
Detailed care and transportation instructions may be provided with your order.
7. Delivery
Sweet Velvet Designs offers delivery within the local area and beyond.
Delivery within a 5 miles radius is included in the price of your cake order.
For deliveries outside the 5-mile radius, a delivery charge of £2 per mile will apply.
The delivery charge will be confirmed when your order is booked.
Delivery times will be agreed in advance wherever possible. Please understand that delivery times may be affected by traffic, road closures, weather conditions or other circumstances outside of our control.
The customer must ensure that someone is available to receive the order at the agreed delivery location.
If nobody is available to accept the order, additional delivery charges may apply for a second delivery attempt. If the order cannot be safely delivered, Sweet Velvet Designs reserves the right to return the order to the business premises, with any further collection or delivery being the customer’s responsibility.
8. Delivery & Set-Up
Standard delivery means that the cake/order will be transported to the agreed delivery address and handed over to the customer or nominated recipient.
Cake set-up is not included unless specifically agreed in advance.
If set-up is required, an additional fee may apply depending on the location, venue and requirements.
The customer is responsible for ensuring that the delivery location is accessible and suitable for delivery.
9. Responsibility After Delivery
Once the cake or other order has been safely handed over to the customer, venue or nominated recipient, responsibility for the condition and storage of the product passes to the recipient.
Sweet Velvet Designs cannot accept responsibility for damage caused after delivery due to handling, storage, temperature, transportation or circumstances outside of our control.
Where a cake is delivered to a venue or third party on the customer’s behalf, delivery to that person or venue will be considered completion of the delivery.
10. Product Quality & Storage
Customers should follow any storage and care instructions provided with their order.
Many cake decorations and fillings can be affected by heat, humidity and direct sunlight. Cakes should therefore be stored appropriately and kept away from excessive heat unless otherwise advised.
**Cakes with fondant/ sugar paste details/ decorations are unable to be refrigerated- please keep them in a cool place, out of direct sunlight**
11. Complaints & Issues With Orders
Sweet Velvet Designs takes pride in the quality of its products.
If you believe there is an issue with your order, please contact us as soon as reasonably possible after collection or delivery and provide photographs where appropriate.
Any genuine issue will be considered fairly and addressed in accordance with your statutory consumer rights.
12. Circumstances Outside Our Control
Sweet Velvet Designs will always make reasonable efforts to fulfil confirmed orders.
However, we cannot be held responsible for circumstances beyond our reasonable control, including severe weather, road closures, traffic incidents, power failures, supplier issues, venue closures or other unforeseen circumstances.
Where possible, we will communicate with the customer and work towards a suitable alternative solution.
13. Photography & Marketing
Sweet Velvet Designs may photograph completed cakes, cupcakes and cookies for portfolio, website and social media purposes.
If you do not wish your order to be photographed or used for marketing purposes, please let us know before your order is completed.
14. Prices
All prices will be confirmed at the time of booking.
Prices may vary depending on the size, flavour, design, decoration, complexity and ingredients required.
Any additional requests made after the original quotation may result in additional charges.
15. Agreement
By paying the booking deposit, you confirm that you have read and accepted these Terms & Conditions.
Sweet Velvet Designs reserves the right to update these Terms & Conditions when necessary. The Terms & Conditions applicable to your order will be those provided or made available to you at the time of booking.
